Account & Profile Information

• Name, email address, phone number, and password
• Role within your organization (e.g., admin, instructor, student, maintenance)
• Certificate numbers, certificate types (A&P / IA), and digital signatures (maintenance personnel)
• Profile photos and uploaded documents

Organization Information

• Organization name, address, and contact details
• Aircraft fleet information (tail numbers, make, model, Hobbs/Tach times)
• Billing and payment information (processed securely via Stripe)

Usage & Activity Data

• Scheduling and dispatch records, flight logs, and maintenance entries
• Squawk filings, ground school progress, and quiz results
• Login timestamps, IP addresses, and browser/device information
• Session activity and page interactions

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the AeroSchedule platform
• Authenticate users and manage access permissions
• Process payments and manage subscription billing
• Send transactional notifications (scheduling confirmations, squawk alerts, SMS via Twilio)
• Respond to support requests and inquiries
• Monitor platform health, prevent fraud, and ensure security
• Comply with legal obligations
• Send product updates and service announcements (you may opt out at any time)

3. Cookies & Tracking

We use cookies and similar tracking technologies to operate and improve our service.

Functional Cookies — These are strictly necessary for the platform to work. They maintain your authenticated session and remember your preferences. These are set regardless of your cookie consent choice.

Analytics Cookies — With your consent, we use analytics cookies to understand how users interact with AeroSchedule (e.g., which features are used, navigation patterns). This helps us improve the product. You may decline analytics cookies via the cookie banner.

You can change or withdraw your cookie consent at any time by clearing your browser's local storage or using the cookie banner that appears on your first visit. Note that declining analytics cookies will not affect your ability to use the platform.

We do not use advertising or third-party marketing cookies.

4. How We Share Your Information

We do not sell your personal information. We may share information in the following limited circumstances:

• Within Your Organization: Administrators and authorized roles within your flight school may view data relevant to their role (e.g., instructors see student schedules; maintenance personnel see aircraft records).
• Service Providers: We share data with trusted third-party vendors who process it on our behalf, including Stripe (payments), Twilio (SMS notifications), Resend / SMTP providers (email), and AWS (cloud hosting).
• Legal Requirements: We may disclose information if required by law, subpoena, or to protect the rights, property, or safety of AeroSchedule, its users, or the public.
• Business Transfers: If AeroSchedule is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you of any such change.

5. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the service. If you close your account or your organization's subscription ends, we will retain your data for up to 90 days before permanent deletion, unless a longer retention period is required by law.

Aviation maintenance records and logbook entries may be subject to FAA record-keeping requirements. We encourage organizations to export and archive records before account closure.

6. Security

We implement industry-standard security measures to protect your data, including:

• HTTPS encryption for all data in transit
• Hashed passwords (bcrypt) — we never store plaintext passwords
• Role-based access control (RBAC) limiting data access by user role
• Regular security reviews of our codebase and infrastructure

No method of transmission over the internet is 100% secure. While we strive to protect your information, we cannot guarantee its absolute security.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of inaccurate or incomplete data.
• Deletion: Request deletion of your personal data ("right to be forgotten"), subject to legal obligations.
• Portability: Request an export of your data in a machine-readable format.
• Objection / Restriction: Object to or request restriction of certain processing activities.
• Opt-out of marketing: Unsubscribe from marketing communications at any time via the link in any email we send.

AeroSchedule integrates with the following third-party services. Each has its own privacy policy:

We are not responsible for the privacy practices of third-party services.

9. Children's Privacy

AeroSchedule is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us at privacy@aeroschedule.io and we will promptly delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page and, for material changes, notify you via email or a prominent notice within the platform. Your continued use of AeroSchedule after changes become effective constitutes your acceptance of the updated policy.
